Volunteers,
Below you will find each of the positions we will fill for the 2006
Dunedin Triathlon/A Race Thru Xanadu. We need you to keep this event
such a great success. The Rotary will recognize your commitment to help
out at this event when you sign in. We need each individual but we urge
you to encourage your entire club, team or org to get involved in this
great 501(c)(3) fundraiser. All volunteers need to report to Volunteer
Check to pick up your t-shirt and to get or verify your assignment.
Check in on Honeymoon Island at 3 p.m. on Saturday, June 3rd or at 6
a.m. on race morning. You MUST sign in and note your position and the
organization (if any) you are representing that should get credit for
you volunteering. We will email you back with your assigned position
using the code next to the title of the area you would like to work
(i.e. if we email you T3 you are a transition marshal).
Transition
Marshals: T1 T2 T3 T4 T5 T6
If you are one of our transition marshals position yourselves near the
entrance(s) to transition. It will be your responsibility to make sure
all athletes entering transition have been body marked (if they are
not marked they can still enter but remind them they cannot start the
race unless they are marked and may be pulled out at swim start so get
marked. Check their race number or verify they are an athlete as NO
ONE other than athletes are allowed in transition. If they have not
picked up their number yet send them back to the registration table.
Transition closes and must be cleared at 7:30 a.m. (race start). You
will make announcements to this fact and have someone go tell the emcee
to announce it on the loud speaker. Transition area re-opens when about
90% of the athletes have finished the race (around 9:45 a.m.) If we
let them get their equipment and leave too early they will interfere
with athletes still on the course
Time
Chip Assistants: T7 T8 T9
These people will help distribute timing chips to the athletes at transition
area. Alta Vista Sports controls this but needs your help. Your contact
is Jacob Smith. Once the race starts then you will go to the food area
under the big tent to help with food prep. After the food is prepared
head to the finish line and help remove and store chips.
Registration
Volunteers: T10 through T15
This group needs
to be able to work registration Saturday from noon to 3 at Family Fitness
Center on Dunedin Causeway as well as early morning registration on
Honeymoon Island where you will arrive by 5:45 a.m. I will give you
a brief meeting at 12:15 on Saturday at Family Fitness to show you how
registration will execute. After registration ends at 3 p.m. you need
to collect ALL of your supplies to bring out to the island where you
should be set up and ready to open at 6 a.m. However do NOT begin on
Sunday until you are all ready to go so it remains efficient. You will
register people up to the last minute. At 7:30 (race start) pack up
your supplies and store them in the back of the city tent out of reach.
They will then head to the finish line to distribute water as the athletes
cross the line and help recover and store chips.
Body
Marking: T16 through T22
Body Markers need to be near the registration tables on the north side
of bathhouse #1 at 6 a.m. where you will find all the magic markers.
A line will quickly form toward transition if you stay too close together.
You have to be careful not to interfere causing a back up near registration
or a back up getting into transition. Spread out north to keep the athletes
flowing toward the transition area without a big hold up. We expect
a greater number of athletes than ever and they all arrive about the
same time so we need to keep them moving. Mark the biceps of both arms
and the front of both thighs with their race number. Have them SHOW
you their number. Mark their age on their back left calf. Most are registered
in the age group division so you will only need their age. Some will
be registered in a elite, Clydesdale, Athena or relay. If they are registered
in a division other than age group put a letter next to their age on
their calf corresponding to their division A – for Athena, R for
relay, E for elite, C for Clydesdale.
NOTE:
If the line gets backed up let them into transition and come back later
to get marked just remind them they can’t start the race without
being marked.
LATER:
At 7:25 a.m. leave the markers just outside of transition for anyone
that might need them and head to the city tent where you will prepare
and distribute fruit/food to the athletes who have finished. If someone
wants something before the race give it to them discreetly without opening
it up to breakfast Once all the food is ready have any extra people
not truly needed there to head tot he bike course by transition to help
with dismount or direct athletes on their first lap to keep left and
second lap to keep right.
PARKING:
T23 T24 T25
T23 – Parking crew are our EARLY BIRDS and to arrive at 5 a.m.
T18 needs to be at the stop sign and entrance to the road leading to
transition telling athletes to either make a left to turn and park or
go straight to the next lot. We will fill the north end of the main
lot first.
T24
- will be at the end of the road (see map) making sure EVERY VEHICLE
turns right to park (north). NO CARS can turn the way of transition
area as it will interfere with the course. T19 will notify T18 when
the lot is full so he can begin directing cars to go straight to the
next lot.
T25
- will be at the main gate entering Honeymoon Island to wave athletes
past the toll booth as no fee is collected for race traffic.
Clean
Up Crew: C1 through C6
Arrive
at 10 a.m. on Honeymoon Island and find Ray or Suzanne for instructions.
This is a very short time position and the MOST appreciated because
the committee is so exhausted by this point and we need YOU!
Aid
Station Volunteer: A1 through A15
Hand out water/refreshments to the athletes LOTS OF CHEERING ON THE
ATHLETES!
PRE-C
for course set up or PRE-R for registration.
You’re the bomb if you can help out with course set up on Honeymoon
Island at 3 p.m. or Registration and Packet Pick Up Saturday, June 3rd
from noon to 3 p.m.
Bike
Course Assistants: B1-B20: You will park on the causeway at
the assigned position we will email you. This is a great area to volunteer
if you are loud and want to really encourage the athletes and to tell
each on of them how amazing they are!
All
volunteers should dress for hot weather. We are hat and bring sunscreen.
Bring water or a snack to stay cool! Thank YOU! You ROCK!
